01 PURPOSE

At Sia Research, Consultancy and Training (“Sia”), we are committed to safeguarding the personal data of our employees, the individuals we contact during our research activities, as well as anyone who visits our website or communicates with us electronically.

Through this Privacy Policy, Sia accepts full responsibility for the protection and security of personal data.

In compliance with the Personal Data Protection Law (“KVKK”), Sia will fully adhere to all applicable laws and regulations and, where necessary, implement additional procedures, standards, policies, and internal guidelines.

Sia expects its employees, research respondents, contractors, suppliers, representatives, temporary workers (including freelancers and interns), and any other parties acting on behalf of Sia (“Third Parties”), regardless of whether they use Sia’s electronic systems or their own data management tools, to comply with the principles outlined in this Policy.

Sia is also responsible for ensuring that all Third Parties supporting its operations comply with this Policy and any applicable supplementary standards and procedures.

Sia undertakes to act in accordance with the following principles regarding the collection, recording, storage, modification, organization, disclosure, or other processing of personal data:


02 PRINCIPLES

In line with the Personal Data Protection Law:

  • Personal data will always be processed lawfully, fairly, and accurately.

  • Personal data may be processed and/or transferred to third parties with your consent or in other circumstances permitted by law.

  • Personal data will be collected and processed for specific, explicit, and legitimate purposes.

  • Personal data will be collected only to the extent relevant and proportionate to those purposes.

  • You will be provided with the opportunity to update your personal data when necessary.

  • Personal data will be retained only for as long as required to fulfill the purposes for which it was collected.


03 SCOPE

This Privacy Policy covers the personal data of Sia employees, the data provided by Sia’s clients, the data obtained during Sia’s research activities, the data of third-party companies working with Sia, and the data collected during website visits or through electronic communication, as well as data obtained from other sources.

Articles on our website may include embedded content (e.g., videos, images, articles, etc.). Embedded content from other websites behaves in the same way as if the visitor has accessed those websites directly.


04 PERSONAL DATA

Collection of Personal Data

Within the scope of this Privacy Policy, “personal data” refers to any information that identifies or makes you identifiable. This includes your name, address, email address, phone number, national ID number, and similar details. It may also include information such as vehicle details (license plate or chassis), banking details, family status, lifestyle preferences, shopping habits, voice or images, and any other data that may identify you.

These data include:

  • Research participant data collected through random or listed studies,

  • Data from individuals employed by or applying to work at Sia,

  • Data shared by clients as part of research processes.

In addition, data such as vehicle and license plate details, family status, lifestyle preferences, shopping habits, voice and image recordings, and other identifiers may also be collected.

Candidate Data and Use

Data collected from candidate interviews and/or employees may be used for purposes including but not limited to:

  • Assessing applicants’ skills, qualifications, and interests against career opportunities at Sia,

  • Communicating with applicants regarding current and/or future career opportunities,

  • Verifying applicant eligibility for employment,

  • Facilitating onboarding when an offer is accepted,

  • Continuously improving recruitment practices to maintain a diverse workplace,

  • Ensuring compliance with applicable laws, regulations, and legal processes.

Data requested at the application stage or after hiring, and stored by HR, may include:

  • Contact details (name, address, postal code, phone/mobile number, email address),

  • Résumé information including references, education, and employment history,

  • Legal records and health data after employment,

  • Photographs,

  • Financial account details (for salary, travel, or expense reimbursements),

  • Publicly available information,

  • Voluntary disclosures such as ethnicity or race,

  • Any personal data legally required to be collected.

Sharing Candidate Data

Sia will only share candidate personal data with those who have a legitimate business interest.

External parties handling such data are contractually required to maintain equivalent levels of protection and process the data solely under Sia’s instructions. They cannot use or disclose this data except as legally required.

In certain cases, personal data may be shared directly with service providers supporting recruitment or onboarding. In such situations, candidates are encouraged to review the privacy policies of those providers.

Sia may also disclose candidate data to enforce company policies, investigate suspected or actual misuse or illegal activities, or as required by law, including in the event of a sale or transfer of Sia’s business.

Your Privacy Rights as a Candidate

  • Candidate data is primarily processed with the applicant’s consent.

  • Consent may be withdrawn at any time by sending an email to ik@sia-insight.com. Once consent is withdrawn, the applicant will no longer be considered for employment.

  • Applicants may request access to, correction of, or deletion of their personal data at any time by contacting Sia via ik@sia-insight.com.

Data Retention

  • Candidate personal data is retained for three (3) years. Applicants may request deletion of their data within this period, unless otherwise required by law.

  • Employee personal records are retained for ten (10) years after termination of employment.

  • Personal data shared during research activities is processed strictly for the purposes for which it was provided.

Other Sources of Data

With your consent, Sia may obtain personal data from publicly available databases, commercial sources, or third parties.

Data Collected Automatically

When visiting our website, certain data may be automatically collected using technologies such as cookies and web analytics to improve functionality, usability, efficiency, and security.

Transfer of Personal Data

Your personal data will not be shared with third parties without your consent, unless required by law.

The only exception is sharing limited data with suppliers to facilitate research activities. In such cases, confidentiality agreements are in place, and suppliers must confirm in writing that data has been destroyed and not used for other purposes once the work is complete.

Data Retention Period

  • Personal data is retained only for as long as necessary to fulfill its purpose or for legally required retention periods.

  • As per company policy, personal data is retained for a maximum of six (6) months.

  • Anonymized data may be retained indefinitely. Anonymization means removing all identifiable information (such as name, email, address, national ID, date of birth).


DATA SECURITY

Sia takes all necessary and reasonable measures to ensure the confidentiality, security, and integrity of personal data, protecting it from loss, misuse, or alteration.

Personal data is generally stored in Sia databases or databases provided by our service providers, located on servers in Turkey. If personal data is to be transferred outside Turkey, you will be notified accordingly.


YOUR RIGHTS

You have the right to:

  • Learn whether your personal data is being processed,

  • Know which personal data is being processed,

  • Understand the purposes of processing and whether the data is used accordingly,

  • Know whether your data is transferred domestically or abroad and to whom,

  • Request correction of incomplete or inaccurate data,

  • Request updates if your data changes,

  • Request deletion, destruction, or anonymization of your data where legally applicable,

  • Request notification of corrections/deletions/updates to third parties with whom your data was shared,

  • Object to decisions made solely on the basis of automated data processing,

  • Seek compensation if your data has been unlawfully processed and you have suffered damages.

Requests will be evaluated within two (2) weeks, and you will be informed whether and how your request can be fulfilled.
